Last week I was in NYC facilitating a three-day client workshop. We met all of our goals, and by the time participants were heading to the airport, the walls were a colorful mosaic of Post-its, drawings, and flip charts—evidence of deep thinking, shared laughter, and hard-won alignment.
Over the weekend, I transformed that wall of ideas into clear, usable summaries and insights for the client. Everything from the initial Hopes & Fears boards and Designed Team and Leader Alliances to the team’s Values Maps, Learning Priorities, and Impact/Action Boards was distilled into something they could immediately apply.
Why does this matter? Because those colorful artifacts aren’t just workshop leftovers. They’re living, breathing evidence of engagement. They capture the story of what people think, feel, and commit to when they’re fully present with one another.
Too often, those stories get left behind when the markers are capped and the easels are folded. The energy fades, the insights flatten, and the alignment that was so hard-earned dissolves into the day-to-day.
In this case, I made sure that didn’t happen. I transcribed the information, quantified patterns, and extracted meaning to carry forward into future sessions. Even something as simple as the Meeting Agreements we co-created can serve as a compass for culture – revisited regularly to ensure the team continues to live the values they defined together.
That kind of clarity and commitment shouldn’t disappear once the room is cleared.
Here’s how to make sure your workshop artifacts keep working for you:
- Capture the essence, not just the image.
Take photos, yes, but go deeper. Synthesize the ideas. Identify patterns, agreements, and next steps. This is where AI tools can help, with a human touch to interpret meaning and emotion behind the words. - Connect back to purpose.
Remind the team why these artifacts matter – how their values, agreements, and shared hopes connect to the bigger “why” of their work. These visuals aren’t decoration; they’re anchors to purpose. - Convert insights into living tools.
Transform what’s on the wall into what drives action. Turn sticky notes into team charters, values statements, or meeting rituals. Recently, I turned a session-ending word cloud into a roadmap for next steps. When ideas become habits, the learning sticks. - Celebrate what was created together.
Those messy, beautiful artifacts are proof of collaboration and shared ownership – the fingerprints of a thriving culture. Share them back with leadership or across departments to reinforce pride, alignment, and momentum.
The magic of facilitation isn’t in the markers or sticky notes, it’s in transforming what’s on the wall into what lives and breathes in the work.
